Citrus Relocation Services Limited is an award winning destination service provider and lifestyle consultancy based in the UK assisting clients with their global mobility requirements . We are full members of the ARP, The Property Ombudsman and hold the HMRC Money Laundering Certificate.

We take our responsibility to protect the personal information provided to us seriously. This statement explains how we do that. The personal information we collect:

When we collect personal information, we are open about how we will use it. We will only keep your data as long as it is required, normally the length of any lease you sign after using our services. Or if you take other services beyond a move in or completion date of a property.

We collect information:

  • through our website or the website of our close affiliates – for example names, addresses or email details.
  • from meetings with staff or business contacts, such as exchanging business cards, or collecting information at conferences or business events.
  • that you provide to us in connection with the services we provide, for example in connection with tenancy, lease agreement, purchasing a property, immigration applications, shipping, education or concierge services
  • that we use to validate your identity, such as a passport or proof of residency document.
  • Towards our commitment as HMRC Money Laundering Certificate Holders

The type of personal information we collect

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name and contact details, passport and UK visa details)
  • Addresses of customers current and prospective home addresses
  • Customer representatives
  • Employee Data, including salaries and job roles

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Obtaining a visa or to confirm your right to remain in the UK
  • Secure a rental or temporary property.
  • Obtain a property for purchase and a mortgage if required
  • Obtain school places for school-age children
  • Setting up of utilities and broadband
  • Obtaining a British Bank Account

We also receive personal information indirectly, from the following sources in the following scenarios:

  • Employees
  • Immigration lawyers and representatives
  • Estate and Letting agents
  • Family members
  • Guarantors

We collect this data so we can fulfil the service requirements you need for your relocation to the UK.

We use the information that you have given us in order to satisfy the following;

We rely upon a number of different legal bases for processing personal information and special category personal information – these include processing personal information where it is in our legitimate interests to do so, where this is necessary for the fulfilment of a contract, tenancy agreement or mortgage or where the processing is necessary to carry out our obligations under immigration law and money laundering checks on behalf of the HMRC.

Where we rely on our legitimate interests, this means that we use personal information to run our business and to provide the services we have been asked to provide.

We only collect information that has been supplied voluntarily, you do not have to provide us with personal information.  However, if you do not provide us with the information we need by law or require to do our work, we may not be able to offer certain products and services.

We may share this information with estate agents, letting agents, local councils, utility companies, telecommunication, television and Broadband suppliers. We may also have to provide information to the UK Government and other bodies which provide authority for any of the services you require for a successful relocation.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information

Your information is securely stored.

We keep information in digital and hardcopy form for a period of five (5) years if it is related to HMRC information or legal requirements. The digital information is normally kept on our Customer Relationship Management (CRM) system which is secured by passwords and conforms to GDPR and UK legal requirements for security and data integrity.

If after five (5) years the data is deleted or the hardcopies destroyed unless by secure and certificated shredding we need the information as we are still currently working with you or your employer at the time.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
